Privacy Policy

TradeLedger ("TradeLedger", "we", "us", "our") is an earnings and tax tracking app for the self-employed, and this website. This policy explains what information is collected, how it's used, and the choices you have. We've written it in plain language; if anything is unclear, email us.

1. Who we are

TradeLedger is operated by AAAHStudios, trading as TradeLedger, a UK-based sole trader. AAAHStudios is the data controller responsible for your information under UK data protection law (UK GDPR and the Data Protection Act 2018).

2. Scope of this policy

This policy covers two things: the TradeLedger mobile app (iOS and Android) and this website. Where the two differ, it's called out below.

3. Information the app stores

TradeLedger is built to work fully offline, and by default your data never leaves your device. The app stores the following locally, in an encrypted-at-rest SQLite database managed by the operating system:

Shift entries — dates, start/end times, calculated hours
Expense entries — date, amount, category, optional description
Settings — hourly wage, tax mode, pay period, earnings goal, notification and appearance preferences
Whether you have an active Premium subscription

None of this is transmitted to us, or to any third party, unless you explicitly choose to export it yourself (for example, via the CSV export feature, which uses your device's native share sheet under your control).

Planned feature — accounts & sync. We plan to introduce an optional account (email and password) that syncs your data across devices via a secure cloud backend. Creating an account will always be optional — the app will remain fully usable without one. Before this feature ships, we will update this policy with full detail on what's collected and how it's protected, and account creation will require your affirmative consent.

4. Information the website collects

This website does not use cookies and does not use any third-party advertising or cross-site tracking. It does use Vercel Web Analyticsto understand aggregate traffic — which pages are visited, roughly how many visitors, referring sites, and general device/browser/country-level breakdowns. This is cookieless and uses no persistent identifier or fingerprinting, so it cannot be used to identify or track an individual visitor across sessions or other sites. The TradeLedger app itself has no analytics of any kind. If you email us — including via the "Notify me" or contact links — we receive whatever you send us: your email address and the content of your message. We use that only to reply to you.

5. In-app purchases & payment

Premium subscriptions are billed through Apple's App Store or Google Play using their native in-app purchase systems. We never see or store your card details — Apple and Google handle payment processing under their own privacy policies. We only receive confirmation that a purchase was made, so the app can unlock Premium features.

6. How we use information

We use the limited information described above only to:

Run the app's core functionality (calculating your earnings and tax on your device)
Respond to emails you send us
Recognise an active Premium subscription

We do not use your information for advertising, and we do not sell personal data — ever.

The only third parties involved in operating TradeLedger today are:

Apple App Store / Google Play — app distribution and subscription billing
Vercel — hosts this website and provides the cookieless Web Analytics described in Section 4. Standard hosting request logs pass through Vercel; no app data (shifts, expenses, settings) ever does.

If we introduce cloud accounts and sync (see Section 3), our infrastructure provider will be Supabase, which hosts the database and authentication behind row-level security scoped to your account. This policy will be updated with details before that feature is available to you.

8. Storage & security

On-device data is protected by your operating system's standard app sandboxing and storage protections. We recommend keeping your device's lock screen and OS up to date, as this is the primary safeguard for locally-stored data. Any future cloud-synced data will be encrypted in transit and access-controlled per account.

9. Retention & deletion

Since your data is stored locally, you're always in control of it: deleting an entry removes it immediately, and uninstalling the app permanently erases everything stored on that device. If we introduce cloud accounts, you'll be able to request deletion of your account and associated data at any time by emailing us, and we'll action it within 30 days.

10. Your rights

If UK/EU data protection law applies to you, you have the right to:

Access the information we hold about you
Correct inaccurate information
Request erasure of your information
Object to or restrict certain processing
Request a copy of your data in a portable format

To exercise any of these, email support@tradeledgerapp.com. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk if you believe your data has been mishandled.

11. Children's privacy

TradeLedger is intended for self-employed adults managing their earnings and tax, and is not directed at children. We do not knowingly collect information from anyone under 16.

12. International users

TradeLedger's tax calculations are built around UK Self-Employed tax rules, but the app and website may be accessed from other countries. Wherever you're located, the data practices described in this policy apply equally.

13. Changes to this policy

If we make material changes — particularly around the introduction of accounts and cloud sync — we'll update the effective date above and, where appropriate, notify you in the app.
